AI receptionist vs answering service: AI receptionist or answering service: which fits a contractor?
Updated · By the Dael team
The short answer
- Choose an AI receptionist to stop losing jobs to missed calls, nights, weekends and slow callbacks.
- Choose a live answering service for complex or sensitive calls, callers who insist on a person, or a phone that rarely rings.
- A hybrid often works best: your team first, overflow and after hours to the AI, emergencies to the tech on call.
- Whatever you pick, it should say it is AI, announce recording, handle 911 cases and book into your calendar.
Side by side
Live answering services and AI receptionists differ most in what happens after the phone is answered. A DIY AI product is one you configure and tune yourself. A done for you service is one the vendor builds, runs and tunes.

When a live answering service is the right pick
- Complex or sensitive calls. A long conversation, a dispute or bad news is a job for a person who can read the room.
- Callers who insist on a person. Some will hang up on an AI however good it is. A live service gives them one.
- Very low volume. If the phone rings a few times a week, a per call or per minute plan is cheap and simple. Dael's guarantee starts at 150 calls a month, so below that we point shops to a live service or a DIY add on.
When an AI receptionist wins
- Volume spikes. A cold snap or heat wave floods the phones. An AI answers every call at once, so nobody waits on hold.
- Nights and weekends. It answers at any hour without a night shift to staff.
- Booking, not messages. It puts the job on your calendar while the caller is still on the line.
- Speed on paid leads. A 2011 Harvard Business Review study of 2,241 US companies found that firms that contacted a web lead within an hour were about 7 times as likely to have a meaningful conversation with a decision maker as firms that waited one more hour (HBR). A done for you AI calls the lead in under 60 seconds.
- Memory. A repeat caller is greeted with their history, so nobody gives their address twice.
The hybrid setup that works for many shops
- Your team answers first, on the number you already have.
- Calls nobody answers within four rings, busy lines and after hours forward to the AI. We call this overflow mode.
- Emergencies go to the tech on call. A gas smell, carbon monoxide alarm or water near electrics gets the 911 script first.
- Anyone who insists on a person goes to your team, or to a live service you keep for them.
You keep your number and your CSR. You add coverage for the calls you were missing. See how it works for the same-day setup, or the HVAC and plumbing offer for the plans and the guarantee.
What to ask any vendor
Use this checklist on a live service or an AI receptionist. Ask for the answers in writing.
- Does it say it is an AI? The caller should hear it early, on every call. Dael does, and never pretends to be a person.
- Does it announce that the call is recorded? It should say so on every call, not only in some states.
- How does it handle emergencies and 911? For a gas smell, carbon monoxide or water near electrics, it should tell the caller to get out and call 911, alert your tech on call, and never troubleshoot.
- Does it book into your calendar or field service software? A message with a name and number is not a booking. Ask where the job lands and who confirms it.
- Does it quote only your approved fee? Your service call fee is fine. Job pricing should stay with your techs.
- Does it get consent before it calls anyone? It should only call leads who asked to be contacted, and stop the moment someone says stop.
- Can you hear every recording? You should be able to listen to any call, and a report should show what was answered and booked.
- How long is the contract? Know the minimum term and how to cancel. Dael is two months from go live, then month to month.

Questions owners ask
Is an AI receptionist better than an answering service?
It depends on the problem. An AI receptionist is better when you lose jobs to missed calls, after hours calls and slow callbacks, because it answers right away at any hour and can book into your calendar. A live answering service is better for complex or sensitive calls and for callers who insist on a person. Some shops use both.
What is the difference between a virtual receptionist and an answering service?
The terms overlap, and vendors use virtual receptionist for both remote people and AI. Ask three questions of any vendor: who answers, can it book into your calendar, and what happens after the call ends.
Will callers know they are talking to an AI?
Yes. Dael says it is an AI assistant early on every call, never pretends to be a person, and announces that the call is recorded.
Can an AI receptionist handle a 2am emergency?
It can triage the call with your emergency rules and alert the tech on call. For a gas smell, a carbon monoxide alarm or water near electrics, Dael tells the caller to get out and call 911 first, then alerts your tech. It never troubleshoots those calls.
Do I have to change my number or let my CSR go?
No. Dael works in overflow mode: unanswered, busy and after hours calls forward to it, and your team still answers first.
Which one costs less?
On published prices, Smith.ai lists its AI receptionist at $2 a call over the plan and its human receptionists at about $10 a call. The price per call is not the price per job, so compare what each one books. Our cost guide has the full table.
