How shops cover the phone, and what each costs
Shops use one of five setups, or a mix. Prices are list prices as of October 2026, so check each vendor before you buy.

What actually drives the bill
Four things set what you pay.
- Minutes, calls or a flat plan.Per minute billing means a long call costs more than a short one. Per call billing means a quick question and a full booking can cost the same. A flat plan with minutes included, like Dael's, is the easiest to predict.
- Setup. Dael's setup is normally $1,500, and it is waived for our first 10 HVAC and plumbing shops. A DIY add on has no setup fee but costs you setup time, because you do the configuring.
- Overage.Smith.ai's AI charges $2 a call past the plan. Jobber's add on covers 30 conversations. Dael charges $0.25 a minute past the cap.
- After hours. Emergency calls do not keep office hours. Ask whether nights and weekends bill the same as the day, and whether anyone answers at all.
Hidden costs most price lists skip
- Setup and tuning time. A DIY add on is cheap until you count your hours. Jobber, Smith.ai and ServiceTitan all leave the configuring and tuning to you.
- Messages instead of bookings. Some services only take a name and a number. Then your CSR calls back, and a homeowner with no heat may have called the next shop. Ask whether the service books into your calendar.
- No follow up on leads and estimates. A service that only answers stops when the call ends. A 2011 Harvard Business Review study of 2,241 US companies found that firms that contacted a web lead within an hour were about 7 times as likely to have a meaningful conversation with a decision maker as firms that waited one more hour (HBR). Jobber's receptionist lists no outbound follow up. ServiceTitan lists outbound virtual agents that follow up with new leads on some plans (ServiceTitan).
- Lead fees on calls you miss. Starting October 1, 2026, Google charges some missed calls during business hours as valid Local Services Ads leads when the caller stays on the line more than 20 seconds, with some exceptions (Search Engine Land). Cost per recovered job
Cost per recovered job is your monthly cost divided by the jobs the service books that you would have lost. It compares a $29 add on, a $300 live plan and a done for you service fairly.
Start with what a missed call costs you: calls a month, times the share you miss, times the share that is new work, times the share that would book, times your average first ticket. As an illustration, 400 calls, 25% missed, 50% new work, 60% would book and a $450 ticket comes to about $13,500 a month. At a $450 ticket, $297 a month is covered by less than one recovered job.

How to choose by call volume
- A few calls a month, mostly business hours.A per minute or per call live service, or a DIY add on, is likely the cheapest fit. Dael's guarantee starts at 150 calls a month, so below that we will tell you it is not a fit.
- A busy phone, 150 calls a month or more. Per minute and per call bills grow with every call, and a flat plan with minutes included is easier to budget. If you also buy leads, follow up matters as much as answering.
- You already run Jobber or ServiceTitan. Try the built in receptionist first. If you like it for answering, keep it. Dael adds follow up.
- Callers who insist on a person. Keep a live service for them and send the rest to an AI. A mix often works best, as covered in AI receptionist vs answering service.
